New rules for how to run our event book-keeping-wise.
Not that it is not anything we should not already be doing, of course.

Subject: [paganpride-coords] new policies

National has passed these policies that are posted. The first is most
important to read:

NEW FINANCIAL RECORDS POLICY

- After the event, the LC will be required to submit copies of: all bank
statements, donor receipts, and ALL expense receipts - along with a
financial summary (the financial report).

This goes into effect NOW, so make sure you save all your receipts
starting now, and track down the ones for money already spent this year.
This sounds draconian, but doing the IRS forms has become too hard for
me and they need to be accurate. Something about "sign here under
penalty of purgery" makes me nervous. I need to protect the Project in
case of audit, and if we are audited, NATIONAL needs to have accurate
financial records or we could lose our exempt status. It's that simple.
So we have to apply an equally strict policy onto you.

This policy can be waived, upon request, for events that are separately
incorporated. National is not legally responsible for those events. It
is helpful, however, for National to have the records as a backup for
you. If you are separately incorporated and you ask us to waive this
policy for you, you need to realize that the policy itself still applies
to you per IRS regulations, so you legally need to keep the same exact
records yourself at the local level.

OTHER NEW POLICIES

- Every Local Coordinator must tell their RC where their event funds are
held and keep this information up to date at all times. And add this
policy to the turnover policy: When a Local Coordinator resigns, that
Local Coordinator must turn the event funds immediately over to the new
Local Coordinator, or the Regional Coordinator if there is no new LC.
The RC will hold the funds for a year pending a new LC, after which the
funds will revert to the National Organization.

- Legal: Be aware of any applicable regulations, including but not
limited to including but not limited to: zoning laws, location permit
laws, sexual registry laws, concealed weapons laws.
